Tuition and Fees Refund Policy
ㆍThe amount will be refunded to the applicant, expense bearer or mediating party. Please be aware that bank transfer fees to refund the amount to your bank account will also be subtracted from the refund amount.
ㆍPlease also be aware that the school fees will not be refunded in case of natural disasters, accidents, epidemics etc.
For student visa applicants
1.Cancellation of the course after the visa application documents are submitted, prior to the “Certificate of Eligibility” is issued
The screening fee will be retained by the school.
2.Cancellation due to the “Certificate of Eligibility” not being issued.
The screening fee will be retained by the school.
3.Cancellation of the course after the “Certificate of Eligibility” is issued, prior to applying for the entry visa and entering Japan
The screening fee and entrance fee will be retained by the school. The tuition fee will be refunded after receipt of the original “Certificate of Eligibility” and certificate of admission.
4.Cancellation due to the applicant’s visa being rejected by the Japanese Embassy or Consulate
The screening fee and entrance fee will be retained by the school. The tuition fee will be refunded after receipt of the certificate of admission and presentation of the letter from the Japanese Embassy or Consulate proving that the visa application has been rejected.
5.Cancellation of the course after the entry visa is issued, prior to entering Japan
The screening fee and entrance fee will be retained by the school. The tuition fee will be refunded after the school staff confirms the entry visa is unused and has been revoked and after receipt of the certificate of admission.
6.Cancellation of the course after entering Japan with student visa
The screening fee, entrance fee, international student insurance premium and health management fee will be retained by the school. As a general rule, the tuition fee will also not be refunded. However, the applicant will be eligible for a refund if he or she meets the criteria stated below [(1) and (2)]. Only the tuition fee of the term(s) which has not started will be refunded except for the Cancellation charge as shown in the table below.
(1st term: From April 1st to June 30th, 2nd term: From July 1st to September 30th, 3rd term: From October 1st to December 31st, 4th term: January 1st to March 31st)
(1) The applicant has submitted an application for cancellation from the school due to unavoidable circumstances such as illness and has received permission from the headmaster to cancel under those circumstances.
(2) The applicant who the school staff confirms has had their student visa revoked.

8.If the student arrives in Japan after commencement date,
the tuition fees for the period they missed will not be refunded.
For other than student visa applicants
1.For applicants who intend to join course on a short term visa, prior to entering Japan
1)Cancellation of the course more than 7 days before the commencement date, prior to entering Japan
The registration fee and the handling fee for issuing the letter of invitation will be retained by the school.
ㆍCancellation of the course before applying for the entry visa: The tuition fee will be refunded after the school staff confirms the applicant has not entered Japan and after receipt of the certificate of admission and letter of invitation.
ㆍCancellation of the course after the entry visa is issued: The tuition fee will be refunded after the school staff confirms the entry visa is unused and has been revoked and after receipt of the certificate of admission.
2)Cancellation of the course 1 to 6 days before commencement date, prior to entering Japan
The registration fee, the handling fee for issuing the letter of invitation and the Cancellation charge equivalent to 1 week tuition fee will be retained by the school.
ㆍCancellation of the course before applying for the entry visa: The tuition fee will be refunded after the school staff confirms the applicant has not entered Japan and after receipt of the certificate of admission and letter of invitation.
ㆍCancellation of the course after the entry visa is issued: The tuition fee will be refunded after the school staff confirms the entry visa is unused and has been revoked and after receipt of the certificate of admission.
3)Cancellation due to the applicant’s visa being rejected by the Japanese Embassy or Consulate
The registration fee and the handling fee for issuing the letter of invitation will be retained by the school.
The tuition fee will be refunded upon receipt of the certificate of admission and presentation of the letter from the Japanese Embassy or Consulate proving that the visa application has been rejected.
4)Cancellation due to the applicant being denied entry into Japan
The registration fee and the handling fee for issuing the letter of invitation will be retained by the school.
The tuition fee will be refunded after the school staff confirms the applicant has been denied entry into Japan and after receipt of the certificate of admission.
5)Cancellation of course after entering Japan
The registration fee, the handling fee for issuing the letter of invitation will be retained by the school. As a general rule, the tuition fee will also not be refunded. However, the applicant will be eligible for a refund if he or she meets the criteria stated below [① and ②]. Only the tuition fee of the remaining week(s) of class will be refunded except for the Cancellation charge. The Cancellation charge is 30% of the tuition fee of remaining week(s) of class.
① The applicant has submitted an application for cancellation more than 7days before withdrawing due to unavoidable circumstances such as illness and has received permission from the headmaster to cancel under those circumstances.
② The applicant who the school staff confirms the student has left Japan.
2.For private or group lesson applicants
1)Cancellation more than 7 days before your scheduled lesson
The registration fee will be retained by the school.
2)Cancellation 1 to 6 days before your scheduled lesson
The registration fee and Cancellation charge equivalent to 1 lesson fee will be retained by the school.
3)Applicants can only reschedule lessons once. Lessons must be rescheduled 7 days in advance.
4)The type of class (private, 2 people or 3-5 people) can be changed only once, more than 3 days in advance.
3.For applicants who don’t fall in the above [1 and 2] categories
1)Cancellation of the course more than 7 days before commencement date
The registration fee will be retained by the school. The tuition fee will be refunded upon receipt of the certificate of admission.
2)Cancellation of the course 1 to 6 days before commencement date
The registration fee and Cancellation charge equivalent to 1 week tuition fee will be retained by the school. The tuition fee will be refunded upon receipt of the certificate of admission.
3)Cancellation of the course after commencement date
The registration fee will be retained by the school. The tuition fees will be handled as stated below.
① As a general rule, the tuition fee of the term which has started will also not be refunded. However, the applicant will be applicable for a refund if he or she has submitted an application for cancellation more than 7days before withdrawing due to unavoidable circumstances such as illness and has received permission from the headmaster for the same. Only the tuition fee of the remaining week(s) of class will be refunded except for Cancellation charge. The Cancellation charge is 30% of the tuition fee for the remaining week(s) of class. (1st term: From April 1st to June 30th, 2nd term: From July 1st to September 30th, 3rd term: From October 1st to December 31st, 4th term: January 1st to March 31st)
② The tuition fee of the term(s) which has not started will be refunded after submission of the application for cancellation if submitted more than 7days before the commencement date of each term. In the case of submission of an application for cancellation 1 to 6 days before the commencement date of each term(s), Cancellation charge equivalent to 1 week tuition fee will be retained by the school.

Accommodation Fee Refund Policy
ㆍThe check-in date for the dormitory will be scheduled upon discussion with the applicant, expense bearer or mediating party. A rescheduled check-in date for the dormitory can be changed only once more than 10 days before your scheduled check-in date.
ㆍThe amount will be refunded to the applicant, expense bearer or mediating party. Please be aware that bank transfer fees to refund the amount to your bank account will also be subtracted from the refund amount.
1.Cancellation more than 10 days before check-in date
All accommodation fees paid will be refunded.
2.Cancellation 1 to 9 days before check-in date
All accommodation fees paid except the entrance fee will be refunded.
3.In case the applicant’s permission of check-in for the dormitory is revoked by Futaba due to the applicant not paying all accommodation fees by the appointed day or for other reasons deemed by the school headmaster.
All accommodation fees paid except the entrance fee and a penalty equal to one month’s fee.
4.Leaving the dormitory after check-in
1) The entrance fee will not be refunded.
2) Generally, the deposit will be refunded upon moving-out. Except in the following cases:
① In the case the student uses the facilities or furniture for reasons other than their original purposes without the headmaster’s permission or makes changes to them
② In the case the facilities or equipment have been intentionally or accidentally destroyed, damaged or stained
③ In the case the accommodation fees have not been paid completely
④ In the case the dormitory’s water, electricity or gas bills have not been paid yet
3) The monthly fee of the first three months will not be refunded. However, an exception will be made if students are requested by Futaba to move out for making repairs or cleaning purposes. From the fourth month, the monthly fee will be refunded upon submission of an application for leaving the dormitory more than 1 month before the leaving date.
4) The student will be forced to leave the dormitory in the following cases and the accommodation fees will be refunded according to the refund policy above (1) ~ (3).
① In the case they are no longer a student of the Futaba
② In the case they exceed the accepted time limit for staying at the dormitory
③ In the case they fail to pay the monthly fee or water, electricity and gas bills
④ In the case they can no longer live in the dormitory due to illness or other reasons
⑤ In the case the student gets suspended and the headmaster deems it necessary for them to leave out of the dormitory
⑥ In the case the student has shown indecent behavior or disorderly conduct in the dormitory
⑦ In the case of any other behavior that causes problems in the administration of the dormitory
5.If the student checks in the dormitory after their scheduled check-in date,
the monthly fees for the licensed period they did not stay will not be refunded.
